Pavilion of Ottawa is Hiring a Weekend Receptionist Near Ottawa, IL

Receptionist/ Administrative Assistant- Every other weekend evenings (4p-8p)

The Receptionist is responsible for welcoming visitors to the facility by greeting them, in person or on the telephone, directs visitors by maintaining employee and department directories, and maintains security by following visitor/resident procedures.

Receptionist/ Administrative Assistant Essential Duties and Responsibilities:

  • Answers phones and operates a switchboard
  • Routes calls to facility departments
  • Takes and relays messages to facility departments
  • Sends emails and faxes
  • Greets visitors warmly and ensures they are comfortable
  • Ensures reception is tidy
  • Coordinates mail flow in and out of the facility
  • Performs basic bookkeeping, filing, and clerical duties
  • Assists Business Office Manager with accounts payable receipts
  • Hands out employment applications
  • Other duties as assigned

Receptionist/Administrative Assistant Education and Experience Requirements:

  • High School Diploma or GED
  • Working knowledge of Microsoft Office Suite
  • Ability to organize, multitask, prioritize and work under pressure
  • Prior work experience handling receptionist responsibilities is preferred

Receptionist/Administrative Assistant Physical Demands:

  • Must be able to move intermittently throughout the workday including long periods of sitting
  • May be necessary to assist in the evacuation of residents during emergency situations
  • The noise level in the work environment is usually moderate
